1. Who we are

ClassMind is operated by Revamp Automation, based in Corsham, Wiltshire, United Kingdom. We provide an AI-powered teaching assistant platform for UK primary school teachers.

2. What data we collect

When you create an account and use ClassMind, we collect the following:

• Account information — your name, email address, and password (stored as a secure hash)
• Class profile — your school name, class name, year group, class size, and teaching preferences
• Pupil records — initials or pupil details you choose to enter for report writing or SEND support. These should be kept to the minimum needed for the task
• Generated content — lesson plans, worksheets, reports, and other outputs you choose to save
• Usage data — which features you use and when, for the purpose of improving the service and calculating API costs
• Payment information — handled entirely by Stripe. We never see or store your card details

3. What data we do not collect

• We do not collect any data directly from pupils
• We do not sell your data to any third party
• We do not use your data to train AI models

4. How we use your data

We use the data we collect to:

• Provide and personalise the ClassMind service
• Generate AI-powered lesson plans, worksheets, reports, and other resources
• Send transactional emails (account confirmation, password reset)
• Manage your subscription and process payments via Stripe
• Monitor and improve the platform

5. AI processing

ClassMind uses the Anthropic Claude API to generate your teaching resources. When you generate content, the prompt content needed for that resource — such as school name, year group, topic and notes you provide — is sent to Anthropic's API for processing.

Report writing is designed to avoid sending full pupil names to the AI API. Teachers should not include safeguarding, medical, family, attendance, behaviour or other sensitive pupil details in prompts or uploaded text.

6. Data storage and security

Your data is stored on secure servers based in the European Economic Area. We use industry-standard security measures including:

• Encrypted passwords (bcrypt hashing)
• HTTPS encryption for all data in transit
• Regular server backups
• Access controls limiting who can view your data

7. Data retention

We retain your data for as long as your account is active. If you cancel your account, your data is deleted within 30 days. You can request deletion at any time by emailing privacy@classmind.co.uk.

Generated outputs you have saved are retained until you delete them or close your account.

8. Your rights under UK GDPR

As a UK resident, you have the following rights regarding your personal data:

• Right of access — you can request a copy of the data we hold about you
• Right to rectification — you can correct inaccurate data via Settings
• Right to erasure — you can request deletion of your account and all associated data
• Right to portability — you can request your data in a portable format
• Right to object — you can object to how we process your data
• Right to restrict processing — you can ask us to limit how we use your data

9. Cookies

ClassMind uses cookies for three purposes:

• Essential — one session cookie (PHPSESSID) that keeps you signed in. Always active.
• Analytics — Google Analytics and Microsoft Clarity, to understand how the service is used. Only active with your consent.
• Marketing — Google Ads and Meta Pixel, for advertising measurement and remarketing. Only active with your consent.

Analytics and marketing cookies are never set without your explicit opt-in. You can accept, reject, or customise your choices — and change your mind at any time. For a full list of every cookie set, including names and durations, see our Cookie Policy.

10. Third-party services

ClassMind uses the following third-party services:

• Anthropic — AI content generation (privacy policy)
• Stripe — payment processing (privacy policy)
• Google Fonts — typography (privacy policy)
• Google Analytics (GA4) — website analytics, with your consent (privacy policy)
• Google Ads / Google Tag Manager — advertising measurement and remarketing, with your consent (privacy policy)
• Microsoft Clarity — usage analytics and session recording, with your consent (privacy policy)
• Meta Pixel — advertising measurement and remarketing via Facebook/Instagram, with your consent (privacy policy)

Analytics and marketing services are only activated after you give your consent via the cookie banner. You can change or withdraw your consent at any time via the Cookie Policy page.

11. Children's data

ClassMind is a service for teachers, not pupils. Teachers may enter limited pupil references or notes for report writing and SEND planning. This data is:

• Stored securely and used to provide the ClassMind service
• Only used for the teacher account and resources it belongs to
• Minimised before AI processing where the tool supports it, such as using initials or neutral references for report writing
• Deleted when the teacher's account is closed

Teachers must not enter unnecessary sensitive pupil information, including safeguarding, medical, family, attendance or behaviour details, unless their school has explicitly assessed and authorised that processing.

If you are a school data controller, ClassMind acts as a data processor under Article 28 of UK GDPR. Please contact us to arrange a Data Processing Agreement if required by your school.

12. Changes to this policy

We may update this privacy policy from time to time. We will notify you of significant changes by email. The date at the top of this page shows when it was last updated.
